1. General Billing Terms
By purchasing or activating any paid OpsLink Service, you agree to these Billing & Payment Terms in addition to our Terms of Service, Privacy Policy, Refund Policy, and Acceptable Use Policy.
- All prices, unless otherwise stated, are listed in a currency displayed at checkout.
- Taxes (if applicable) may be added at checkout based on your region or that of the merchant of record.
- You must provide accurate and current billing information and keep it up to date.
2. Subscriptions & Renewals
Certain OpsLink Services (such as hosting plans or premium feature tiers) may be offered on a recurring subscription basis, billed monthly, yearly, or at another clearly stated interval.
2.1 Auto-Renewal
- Unless otherwise stated, subscriptions will automatically renew at the end of each billing period.
- The renewal price will normally be the same as the original price, unless a price change has been announced (see Section 5).
- By starting a subscription, you authorize OpsLink (via Stripe) to automatically charge the applicable fees at each renewal to your selected payment method.
2.2 Cancellation
- You may cancel a subscription at any time through the relevant dashboard or by contacting support.
- Cancelling stops future renewals. It does not automatically trigger a refund for the current period unless explicitly approved under our Refund Policy.
- Access to the paid features or hosted services may continue until the end of the current billing period, after which the service may be suspended or downgraded.
2.3 Free Trials & Promotional Periods
- If a free trial or discounted introductory period is offered, the terms and duration will be clearly stated at sign-up.
- At the end of a free trial or promotional period, the subscription may convert to a paid plan and begin billing automatically, unless you cancel before the trial ends (where applicable).
3. Payment Methods & Stripe Processing
OpsLink relies on Stripe to process payments securely. Stripe is a PCI-DSS compliant payment processor that handles the transmission and storage of sensitive card details.
3.1 Accepted Payment Methods
The exact payment methods available (e.g., credit/debit cards or other methods) may vary based on your region and Stripe’s supported options at the time of purchase. The options will be shown at checkout.
3.2 Card Data Handling & PCI Compliance
- OpsLink Systems does not collect or store full credit or debit card numbers on our own servers.
- All payment card information is transmitted directly from your browser or device to Stripe using secure, encrypted connections (HTTPS/TLS).
- Stripe is responsible for securely storing, encrypting, and processing card data in accordance with PCI-DSS (Payment Card Industry Data Security Standard).
- OpsLink may receive non-sensitive billing information and limited metadata from Stripe (for example, the last 4 digits of a card, card brand, expiration month/year, and transaction IDs) to identify payments and manage billing.
3.3 Failed Payments
- If a payment fails (for example, card declined or insufficient funds), Stripe or OpsLink may attempt to retry the payment.
- We may suspend or limit your access to paid Services if payment cannot be collected within a reasonable time.
3.4 One-Time Purchases
Some Services or add-ons may be sold as one-time purchases. Unless otherwise stated, these are billed once and do not automatically renew. These are generally non-refundable once delivered, except where our Refund Policy or local law requires otherwise.
4. Billing Security & Encryption
OpsLink takes the security of billing-related data seriously and uses multiple layers of protection, both through our own infrastructure and through Stripe.
4.1 Data in Transit
- All communication between your browser and OpsLink billing dashboards is protected using encrypted HTTPS connections (TLS).
- When you enter payment details, your information is sent directly to Stripe over a secure, encrypted connection. OpsLink does not see or intercept the full card number.
4.2 Data at Rest (OpsLink Mainframe for Billing)
- Billing-related data stored by OpsLink (such as invoices, subscription status, plan selections, non-sensitive Stripe identifiers, and your billing contact information) is stored in our infrastructure using industry-standard encryption mechanisms, including AES-256 where applicable.
- This means that billing records and sensitive operational metadata are encrypted at rest within our main billing systems to reduce the risk of unauthorized access.
- We do not store full payment card numbers, card verification codes (CVC/CVV), or full magnetic stripe data on our systems.
4.3 Access Control to Billing Data
- Access to billing information is strictly limited to authorized individuals or administrators who require it for legitimate business purposes such as billing support, dispute resolution, accounting, or fraud prevention.
- OpsLink follows a least-privilege model, meaning personnel receive only the minimum access needed for their role.
- Unauthorized access to billing data is strictly prohibited and may result in internal action and, where appropriate, reporting to relevant parties.
5. Chargebacks, Disputes & Fraud
If you believe there is an error or unauthorized charge, we encourage you to first contact OpsLink directly so we can investigate and attempt to resolve the issue.
5.1 Chargebacks
- Payments processed through Stripe may be subject to chargeback procedures defined by card networks and financial institutions.
- If a chargeback is raised, OpsLink may submit evidence to Stripe and the relevant financial institution to demonstrate that the charge was authorized and the Services were delivered.
- Accounts or services associated with fraudulent or abusive chargebacks may be suspended or terminated.
5.2 Suspected Fraud
- OpsLink reserves the right to refuse or cancel transactions that appear to involve fraud, unauthorized use, or violations of the AUP.
- Fraudulent activity may be reported to Stripe, affected platforms, or legal authorities where appropriate.
6. Pricing, Taxes & Changes
6.1 Pricing
- Listed prices may be shown exclusive or inclusive of taxes, depending on your region and applicable law.
- OpsLink may offer different pricing tiers or plans for different levels of service (e.g., CPU/RAM limits, storage, premium features).
6.2 Taxes
Where required, taxes (such as VAT, sales tax, or similar) may be added to your total at checkout. The amount may depend on your billing address or the requirements of the merchant of record.
6.3 Price Changes
- OpsLink may change prices, billing structures, or available plans from time to time.
- For active subscriptions, we will provide reasonable notice before price changes take effect on future billing periods.
- If you do not agree to a price change, you may cancel before the new price takes effect.
7. Suspension & Termination
If invoices remain unpaid or payments repeatedly fail, OpsLink may:
- Temporarily suspend access to hosting, premium features, or dashboards.
- Reduce service levels (for example, limiting resources or features).
- Terminate Services after a reasonable period, especially where we are unable to contact you or collect payment.
Suspension or termination due to non-payment does not exempt you from paying amounts owed for previously provided Services.
